Designation: – Operations Manager

Industry: Medical/Hospital/Healthcare

Location: Mumbai (Bandra)

Working days- 5 days

Working Timings: 9:00 a.m.-6:30 p.m.


Main Responsibilities:

  • Coordinating of the timely operations of Company’s offices in India.
  • Coordinating of onboarding and training of necessary staff as per project timing and requirements – in collaboration with Director of Operations and Global Management;
  • Supervision of for Back Office and Admin:

o Suppliers – supervision and relationship management – orders, etc.when done by Office Administrator

o Responsible for the Call Center day to day work

  • Guaranteeing operational quality assurance and SLA/reporting compliance towards clients and suppliers at all times.
  • Supporting Operational issues relating to company’s expansion in India.
  • Operational Marketing Coordination and Support: support, drive, improve and support distribution of marketing content communication, support in management of social media channels.
  • Operational Training to staff and AIA Agents in collaboration with global team.
  • Mumbai Office Safety and IS representative – Liaising with Global Safety and IS team, coordination and implementation of procedures etc.
  • Development with Global Management and implementation of operational India procedures.
  • Responsibility for Operations – legal, compliance, data protection and ISO related issues in coordination with Global Management Team and Local Legal Services Provider; NDAs and agreement/maintaining records.
  • Coordination and Reporting with/to Global Management on Operational related issues (COO & President).
  • Execute all training to Agents and Staff with AIA India or other customers.

Weekly Responsibilities:

  • Supervise current and future operational staff in India; Ensuring operational aspect of the daily activities of the admin and call center staff are in concordance with company’s best practices, adapted for local needs where necessary.
  • Assure on-going operational quality service provision
  • Operational QA – Ensure that all clients/patients are contacted and followed up to guarantee the highest service standards possible, including on weekends and holidays
  • Monitoring AIA referrals (quality and quantity) and make sure necessary actions are taken by respective responsible and logged properly on the SF system.
  • Ensure Operational tools are in place to help improve the work of staff to guarantee SLA compliance.
  • Execute ON-GOING Operational Training to Staff and AIA Agents in collaboration with global team
  • Local Operational Marketing Coordination and Support:

o Liaise with marketing related suppliers

o Support and coordinate marketing initiatives with global management – Global VP Marketing

o Support local PR activities

o Responsibility for agent and other marketing related databases

  • Ensure proper reporting to AIA & Management.
  • Take part in weekly medical meetings.
  • Manage regular weekly meetings with Director of Operations – Face to face or over the phone

Monthly Responsibilities

  • Oversee and assure the quality and timely execution of monthly MKT actions to AIA’s staff and agents.
  • Oversee and analyze monthly customer feedback & customer survey report with Medical Doctor & Management.
  • ISO related activities, ensure BCP, back-ups, call recordings etc..

Add hoc duties

  • Ensure HR compliance: Assure and double check all new staff have passed all HR Checks eg. Criminal background checks and provide a copy of all relevant documentation etc.
  • Ensure staff work according to Company’s procedures and handle HR situations ad hoc.
  • Coordination and support of staff training where relevant,
  • Dealing with/if any unexpected visitors
  • Operations related Staff yearly appraisals

Operational Duties

  • Support and coordinate all operational needs to service Customers.
  • Liaise and meet regularly with suppliers, negotiate best deals and pricing.
  • Ensure the office functions properly and that staff has all the necessary hardware, software and stationary necessary to perform work.
  • Liaise with the building manager when needed.
  • Ensure training and drills with regards to Security and IS

Responsibilities with regards to Customers:

  • Ensure Operational SLAs are met
  • Ensure operational quality
  • On-going general reporting to customers as per contract.
