Designation :  Executive Administrative Assistant

Location: Remote

Exp : 4 + yrs

 

About the role

 

The executive administrative assistant will be assigned to perform various administrative and clerical tasks. The suitable individual’s duties shall include supporting the overall management, including managers and board members. The individual shall fulfill the daily office needs and manage the organization’s general administrative activities. The individual must be resourceful, solution-focused, and well-organized. A few (but not limited) of the tasks the individual shall conduct regularly:

 

  • Assisting colleagues and board members with daily clerical tasks 
  • Internal and external correspondences, including drafting invitation emails and designing/preparing informative material 
  • Assisting colleagues in conducting monthly and annual events 
  • Scheduling meetings with all internal & external stakeholders, taking meetings minutes and allocating actions 
  • Assisting colleagues with the preparation of monthly, quarterly, and yearly reports
  • Assisting colleagues and the board members in achieving their monthly and annual targets 
  • Updating the website and social media channels 
  • Designing, scheduling, and running social media campaigns 
  • Assisting colleagues by collecting general and other updates related to all stakeholders 
  • Update the organization’s system from time to time with the collected/provided information 
  • Contacting and updating the profiles information of the organization members..

 

Essential Requirements 

 

  • Excellent English written and verbal communication skills (knowledge of basic Arabic would be advantageous) 
  • Proven experience as an Administrative, Virtual, or Office Assistant 
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, and Publisher) 
  • Excellent time management skills and the ability to prioritize work and be flexible with the work schedule 
  • Attention to detail and problem-solving skills 
  • Strong organizational skills with the ability to multi-task and work independently with fewer instructions 
  • Bachelor’s degree or equivalent experience
